Proofdesk — Privacy Policy

Proofdesk lets Shopify merchants send a design proof to their customer and hold the order until the customer approves it. We only process the data needed for that, on behalf of the merchant.

Data we access

With the merchant's permission the app reads and tags orders (read_orders, write_orders), reads and holds fulfillment orders (read_fulfillments, write_merchant_managed_fulfillment_orders), reads the customer's name and email from the order (read_customers) to send the proof, and reads product tags (read_products) to decide whether an order needs a proof.

Data we store

• The shop domain, the merchant's rules and the merchant's notification email address.
• One record per case: order number, the customer's email and name, status and timestamps.
• The proof files the merchant uploads, the merchant's note per revision, and the comment a customer writes when requesting a change.

Where it is stored and who processes it

• Application and database: Vercel and Neon, hosted in the EU (Frankfurt).
• Proof files: Vercel Blob, under an unguessable address that is only shown on the token-protected approval page and in the merchant's admin.
• Emails to customers and merchants are delivered through Resend.

We do not sell data, use it for advertising, or send marketing emails to customers. Emails to customers are only sent as part of the approval the merchant started.

How long we keep data

Case records are kept while the app is installed, so the merchant has a history of every revision and decision. When the app is uninstalled, Shopify sends shop/redact 48 hours later and we delete every rule, case, proof file, template and setting of that shop.

Requests and deletion

We honour Shopify's mandatory privacy webhooks. On customers/data_request we send the merchant the data we hold about that customer. On customers/redact we delete that customer's cases, matched by order and by email address, including the uploaded proof files.

Proofdesk — Datenschutz (Deutsch)

Proofdesk schickt dem Kunden eines Shopify-Händlers einen Entwurf zur Freigabe und hält die Bestellung an, bis der Kunde zugestimmt hat. Wir verarbeiten nur die Daten, die dafür nötig sind, im Auftrag des Händlers.

Zugriff

Mit Erlaubnis des Händlers liest und markiert die App Bestellungen (read_orders, write_orders), liest und hält Fulfillment-Aufträge (read_fulfillments, write_merchant_managed_fulfillment_orders), liest Name und E-Mail-Adresse des Kunden aus der Bestellung (read_customers), um den Entwurf zu schicken, und liest Produkt-Tags (read_products), um zu entscheiden, ob eine Bestellung einen Entwurf braucht.

Was wir speichern

• Die Shop-Domain, die Regeln des Händlers und seine Benachrichtigungsadresse.
• Je Vorgang: Bestellnummer, E-Mail-Adresse und Name des Kunden, Status, Zeitstempel.
• Die hochgeladenen Entwürfe, die Notiz des Händlers je Fassung und den Kommentar, den ein Kunde beim Änderungswunsch schreibt.

Wo und durch wen

• Anwendung und Datenbank: Vercel und Neon, Standort EU (Frankfurt).
• Entwürfe: Vercel Blob, unter einer nicht erratbaren Adresse, die nur auf der token-geschützten Freigabe-Seite und im Händler-Bereich erscheint.
• E-Mails an Kunden und Händler werden über Resend zugestellt.

Wir verkaufen keine Daten, nutzen sie nicht für Werbung und schicken Kunden keine Werbemails. Kunden erhalten nur Mails zu der Freigabe, die der Händler angestoßen hat.

Wie lange

Vorgänge bleiben gespeichert, solange die App installiert ist, damit der Händler jede Fassung und Entscheidung nachvollziehen kann. Nach der Deinstallation schickt Shopify 48 Stunden später shop/redact; dann löschen wir alle Regeln, Vorgänge, Entwürfe, Vorlagen und Einstellungen des Shops.

Auskunft und Löschung

Wir erfüllen die Pflicht-Webhooks von Shopify. Bei customers/data_request schicken wir dem Händler die gespeicherten Daten dieses Kunden. Bei customers/redact löschen wir die Vorgänge dieses Kunden, gefunden über Bestellung und E-Mail-Adresse, samt Entwürfen.
